JOB SUMMARY
MedGlobal Ukraine is seeking a highly motivated and detail oriented Grants Officer to support fundraising, proposal development, and donor compliance across health and humanitarian programs in Ukraine. This role is critical for strengthening the organization’s ability to attract funding, maintain high quality reporting, and support healthcare focused initiatives.
MAIN DUTIES AND RESPONSIBILITIES
1. Grant Research & Opportunity Identification
• Systematically track national and international grant competitions relevant to healthcare, public health, emergency response, and humanitarian aid.
• Build and maintain an up to date database of donors, funding mechanisms, deadlines, thematic priorities, and eligibility criteria.
• Monitor new calls for proposals, donor announcements, and funding trends; provide regular briefs and recommendations to management.
2. Proposal Development
• Collaborate with internal medical teams, field coordinators, MEAL staff, and external partners to prepare competitive, compliant, and technically strong grant proposals.
• Draft narrative components (context analysis, program description, methodology, indicators, sustainability, risk management), ensuring alignment with donor requirements.
• Support the development of detailed budgets, logframes, and workplans in accordance with donor rules and internal policies.
• Ensure proposals reflect appropriate medical standards, evidence based approaches, and sector norms.
3. Grant Management, Tracking & Reporting
• Maintain a structured grants calendar including deadlines for submissions, reports, and donor communications.
• Monitor ongoing grant budgets, activities, and expenditures to ensure compliance with donor regulations and financial accountability standards.
• Prepare timely narrative and financial reports with all required documentation, ensuring transparency and accuracy.
• Ensure compliance with donor guidelines relevant to healthcare programming, procurement, data protection, and patient confidentiality.
4. Donor & Partner Communication
• Serve as a communication focal point with donors, responding to inquiries and providing updates on funded activities.
• Support relationship building with existing and prospective donors, medical institutions, and humanitarian partners.
5. Additional Duties
• Provide analytical and administrative support for grant related processes, data collection, and documentation.
• Perform other duties relevant to grant development and donor engagement as required.
QUALIFICATIONS AND SKILLS
Should have the following skills, education, and experience:
1. Minimum of 5+ years of relevant experience in grant management, international relations, or fundraising consulting.
2. Master's degree or higher in a relevant field such as Economics, Business Administration, International relation, or a related discipline.
3. Preferred experience of 5+ years in coordinating grants and/or training programs for NGOs, humanitarian organizations, or high education institutions.
4. Experience with international funding organizations is a plus.
5. Strong understanding of grant management principles, including researching, writing, and submitting grant proposals.
6. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
7. Effective communication and collaboration skills, with the ability to work internal teams, external stakeholders, and funders.
8. Strong analytical and problem-solving skills, with the ability to interpret financial data, identify trends, and address challenges.
9. Fluent in spoken and written English and Ukrainian.
